Guidelines for Conducting Non-Face-to-Face Examinations in the Second Semester of the 1398-99 Academic Year
Following the approvals of the university council meeting dated 11/03/1399 and the educational council meeting dated 18/03/1399, the guidelines for holding the end-of-semester examinations for the second semester of the academic year 99-98 are hereby submitted. It is requested that the contents be communicated in a satisfactory manner to the educational departments, the faculty education office, professors, and esteemed students.
1. Considering the review of all aspects, especially emphasizing the preservation of the health of students, faculty members, experts, and staff, regarding the holding of the current semester examinations, it was decided that the evaluation of all courses of the current semester in all educational levels should be based on the professors of the course and educational departments, taking into account the final evaluation of the student with a combination of different methods such as: conducting short electronic tests, providing assignments and exercises for each class session, oral evaluation, continuous evaluation, student participation in discussions and class Q&A, and the like, to be held remotely, and the respected professors should register and confirm the final grades in the Golestan educational system at the specified time.
2. Based on the university's educational calendar, the exam schedule for each course has been entered in the Golestan educational system from Saturday, 07/04/1399 to 21/04/1399, and in order to maintain order and consider the students' circumstances for preparing to participate in remote evaluations, it is requested that if the respected professors intend to conduct a final evaluation within the mentioned time frame, they should use the time specified in Golestan for the final evaluation of each course. In special cases, the esteemed professors are allowed to conduct their evaluation in coordination with the students and outside the schedule.
3. The responsibility for evaluating each course is the responsibility of the professor of that course, and the responsibility for supervising the contents of this guideline is the responsibility of the educational departments and the Education Department and the Educational Assistant of the Faculty / Director of the Higher Education Center.
4. Considering the possibility of disruption in the student's access to the virtual class on the day of the final evaluation, the grade should be divided among various activities and continuous evaluation in such a way that the occurrence of potential disruptions does not cause problems for the student.
5. Regarding the directive issued by the Ministry of Science, Research and Technology regarding the non-impact of unjustified absences of students in virtual classes, for those students who have not been able to attend the classes and, as a result, the respected professors have not been able to evaluate their academic status during the semester, with the discretion of the respected professor, the share of the continuous and final evaluation grade should be adjusted.
6. Considering the number of students in each course and the problems of slow internet speed, the esteemed professors, while observing the course schedule in Golestan, should plan in such a way that the mentioned issues do not create any obstacles in answering the students' questions. For this reason, if the course professor is forced to evaluate the student or students, in addition to the official exam schedule, at another time, in coordination with the students and no later than the last deadline for registering the grade, it is permissible.
7. Each of the esteemed professors should inform the students of the details of their course evaluations through appropriate means, including through educational departments. Also, they should adjust the difficulty level of the exam questions in direct relation to the course outlines and based on the potential limitations in the student's learning.
8. It was decided that the esteemed professors should register the grades within the specified deadlines (theoretical courses up to 31/04/1399 and practical courses up to 10 days after holding the last class session and its evaluation) exclusively in the Golestan educational system.
9. Based on the regulations, the deadline for registering the request for a review of the grades temporarily registered by the student is 72 hours after the initial registration of the grades. The protesting student must register their objection only in the Golestan system, otherwise, no objection will be accepted. The esteemed professors are obliged to consider the necessary time for addressing the objections when registering the grades online.
With best wishes for success, the University's Education Affairs Management
